Thamar University Launches Integrated Digital and Paper-Based System for Student Data and Documents

■ In a significant step towards digital transformation, Thamar University, under the patronage of University Rector Professor Dr. Mohammed Mohammed Al-Haifi and Vice-Rector for Student Affairs Professor Dr. Abdulkafi Abdulfattah Al-Rifai, launched the electronic archiving system for the Student Affairs Office, synchronizing it with the paper archive.

This official event underscored the university's commitment to building a smart and secure learning environment and developing its administrative processes to enhance efficiency and improve the quality of services provided to students.

The inauguration took place in the presence of the Vice-Rector for Graduate Studies and Scientific Research, Professor abdulkareem Zabiba, the Vice-Rector for Academic Affairs, Professor Adel Abdulqhani Al-Ansi, the Assistant to the Rector for Research Centers, Professor Essam Wasel, the University General Secretary, Dr. Mohammed Hutrum, the Dean of the Institute of Continuing Education, Professor Nabil Al-Mikhlaf, the Vice Dean for Student Affairs, Dr. Salah Al-Qawsi, the Head of the Media and Public Relations Department, Mr. Jamal Al-Bahri, the Registrar, Abdulmalik Al-Mualemi, and a number of other university leaders and academic and administrative staff.

During the inauguration, the Rector of Thamar University noted that the launch of the integrated digital and paper archiving system represents a significant step in the university's institutional modernization and digital transformation. He explained that the system aims to improve student services, enhance performance efficiency, expedite procedures, and ensure the accurate and secure preservation of documents and data.

He commended the efforts of the Student Affairs Office and the technical and administrative team in implementing the project, emphasizing the university's continued support for development projects that contribute to improving university operations and strengthening Thamar University's academic and institutional standing.

In his address at the event, the Vice-Rector for Student Affairs reviewed the stages of organizing the paper archive at the Vice Presidency and the efforts made to index it according to modern scientific principles. This allows for accurate and rapid access to any student's documents. He explained that the new electronic system represents a developmental extension of this work, after converting documents and data into a secure digital format through an advanced system that ensures rapid storage and retrieval, as well as data integrity.

He emphasized that the project embodies the university's vision of modernizing its administrative tools and utilizing modern technologies in information management. This contributes to simplifying procedures, raising performance levels, and reducing time and effort, in addition to providing a more disciplined and reliable work environment for handling student documents and data.

He also expressed his gratitude to the University Rector for his continuous support and care for the Vice Presidency for Student Affairs. He commended the efforts of the staff working on both the digital and traditional fronts, from receiving and registering student documents to coordinating, storing, and archiving files. He specifically praised the efforts of Engineer Asrar Abdulkafi, who developed the program using the latest programming languages, providing high levels of security, speed, and efficiency.

Following the inauguration, attendees were briefed on the paper archive and its organization and document storage methods. They were also shown the mechanism for real-time synchronization between the paper and electronic archives, a step reflecting the integration of the two systems during the transitional phase towards a more comprehensive and effective digital management system.

The event also witnessed the inauguration of the University Student Forum office within the Student Affairs office. In attendance were forum officials and several members. The office will provide a range of free services to those wishing to enroll at Thamar University for the academic year 1448 (2026/2027). These services include electronic registration, guidance, document photocopying, streamlined procedures, and other services designed to facilitate the student's journey from application to completion of admission and registration procedures.

This achievement is a part of a series of developmental steps being implemented by Thamar University to enhance its institutional transformation and modernize its administrative and academic structure, keeping pace with contemporary demands and solidifying its position as an educational institution striving for quality, innovation, and community service.
